Since the introduction of mandatory electronic invoicing in 2019, only “three” years have passed. Though few, these years are enough to radically change a habit or a process in the realm of technological progress. All pre-electronic invoicing activities (manually compiling all necessary information, bringing paperwork to the accountant, collecting client signatures…) now seem like distant tasks.
However, for some entities, a part of those “inconveniences” still exists today: we’re talking about VAT-registered entities under a flat-rate scheme and all SMEs, which are sometimes required to issue an invoice, perhaps at the time of payment at the cash register. Gathering the many pieces of information necessary to issue an invoice can take several minutes, creating queues and waits.
The founders of GetYourBill realized the need for digitalization to solve this problem back in 2014, well before the subsequent regulatory framework. Since 2014, GetYourBill has offered a platform for issuing electronic invoices from the point of sale and e-commerce. Thanks to integration with the most widely used cash register management systems and a cloud database, sales points only need the customer’s VAT number to immediately obtain all other data and create an error-free electronic invoice, also thanks to the collaboration with Intesa.
“Since 2018, we have relied on Intesa, a certification authority with extensive expertise and know-how for the control, signing, sending, and compliant storage of the XML file related to the invoice,” said Alvise Abù-Khalil, president and co-founder of Ultroneo, in a recent interview with MarkUp. Intesa assists GetYourBill with invoice verification, transmission to the Interchange System, and compliant storage for 10 years, with the additional functionality of “automatic correction” of invoices.
“We have introduced a control and correction system into the GetYourBill platform that ensures rejected invoices are retrieved and managed. This is thanks to Intesa’s contribution, which acts as a filter and blocks complex situations upstream. Our rejection rate is now close to zero,” continued the co-founder. The collaboration between GetYourBill and Intesa has enabled many SMEs and small businesses to simplify and reduce the time needed to issue electronic invoices through API integration and cloud technologies, with the added security guarantee provided by a certification authority.
In addition to supporting formal checks and invoice transmission, GetYourBill has also chosen Intesa for managing contractual procedures with merchants via the new Intesa Sign platform. Operationally, Intesa Sign has been integrated with GetYourBill’s customer management system, from which it retrieves merchant data to complete subscription documents. Intesa’s systems then return a link available for contract signing with Advanced Electronic Signature in “click to sign” mode, which are also stored in compliance.
GetYourBill now looks to the future, anticipating customer needs. “We are working on the internationalization of invoicing because the European market is increasingly becoming a domestic market. We are often contacted by foreign companies that have clients in Italy and need to manage invoicing in our country.” This is an area that requires attention, especially with the EU’s intervention: the results achieved with electronic invoicing in Italy have been noticed by the European Commission, which is working to create a shared regulatory framework for invoicing.
Within evolving regulations, the path of electronic invoicing in Italy is still developing.
